Taking a Remotely Proctored Online Exam (Centre)

The way in which a learner accesses their remotely proctored online exam is dependent upon the proctoring solution used by the AO. These broadly fall under two categories:

  1. Login directly to the XAMS exam player
  2. Login-less access via an exam link sent in an automated email to the learner when the exam schedule is created

1. Login Directly

1a) In order to take their online exam, the learner will need to login to the XAMS Exam Player.  To do this, the AO or centre should provide the learner with the player URL, their User Name, and personal Password.  



1b)The learner enters this information and clicks on LOG IN.   This takes them to the Welcome page.  On this page, the learner is presented with the Exam Conditions which are defined by the AO.  When they have confirmed that their details are correct and that they have read and understood all exam conditions, the Next button becomes available for selection.



1c) Once the learner has clicked on Next to continue, the remote proctoring Initialisation begins.  Please note that this will vary depending on the proctoring solution being used.  This will generally include:

  • a test of the learner's microphone and webcam
  • asking the learner to allow sharing of their screen
  • confirmation that they are being recorded
  • checking the learner's ID
  • asking the learner to perform a room scan

1d) When this has been completed, the learner will be presented with a link to click to START their exam and will be taken to the exam instructions screen.



1e) The learner clicks START on the top right of the screen, and is then presented with the questions which they can begin to answer.



Question Navigation: The numbers on the left hand side of the screen relate the the questions or tasks that a learner is being asked to complete.  The learner can navigate from one question to another either by clicking on these numbers, or by clicking the forward and back arrows against the question number above the question text.

Bookmark a question: The learner can bookmark any question by clicking on the bookmark icon in the right of the question box.

Exam clock: Is displayed in the top right-hand corner of the screen.  It counts backwards and will turn amber when there are only 10 minutes left.

Instructions:  The learner can click on the Instructions button if they ever want to re-read the exam instructions.

Finish: When the learner has answered all questions and is happy to finish, they click on Finish button.


1f) When the learner clicks on Finish, if there is time left to complete the exam they are asked to confirm this action.  They select OK to finish or CANCEL if they want to review their answers.  If they have not answered all questions they will be alerted to that.


 

When the learner has finished, they are presented with the Outro screen displaying a message, defined by the AO, giving instructions on how to CLOSE and LOG OUT.


2. Login-less access

With some remote proctoring solutions, the learner receives an email inviting them to take their online exam, as soon as the exam schedule is created.  The email will generally contain information such as:

  • Name of exam to be taken
  • Date, time, and duration of the exam
  • Exam conditions or instructions defined by the AO
  • Link to a video or webpage explaining how the proctoring set-up works
  • A pre-exam check of their microphone, webcam and screen-sharing (sometimes)
  • Exam link to access the exam at the appointed time (sometimes only included in a second follow-up email)


IMPORTANT: If using a login-less solution, the learner must only access their exam via the exam link in the automated email.  They must NOT be provided with the exam player URL, User Name, or passwords.


2a) When the learner clicks on the exam link in the automated email the remote proctoring Initialization begins.  Please note that this will vary depending on the proctoring solution being used.  This will generally include:

  • a test of the learner's microphone and webcam
  • asking the learner to allow sharing of their screen
  • confirmation that they are being recorded
  • checking the learner's ID
  • asking the learner to perform a room scan

2b) The learner will then be presented with a link to click to START the exam.  From here, the process is the same as in steps 1d) - 1f) above.
